TRIP COORDINATOR  
(Co-ordinates visits to Ethiopia, sponsored by Ethiopian Partnership Committee)

The primary responsibility of this coordinator is to coordinate a specific trip sponsored by the Ethiopian Partnership Committee (EPC) of the Shenandoah Presbytery, to Ethiopia. 

This coordinator accepts an appointment from the EPC to coordinate a specific trip.  They are encouraged to call upon all resources available to them within the committee and out side of it to discharge their responsibilities.  

The coordinator, once appointed, will have authority to request expenditure from the approved budget for tickets of traveler(s) through the EPC Chair or designee who will seek authorization from the Chair of Faith and Action, or other authority who can approve disbursing of budgeted funds.  

The coordinator will report directly to the Chair of EPC or designee on progress and issues related to the trip coordination. 

The following is meant to serve as a checklist of specific task required in coordinating a trip: 

Do we have an invitation from IBS for visitor(s)?
Is the purpose and/or activities of the trip clearly defined?
Are the traveler(s) selected and committed?
Have the traveler(s) been oriented to
    a.       vaccination requirements
    b.      passport and visa requirements
    c.       cultural expectations of IBS while visiting
    d.      routine dangers and conditions to expect in Ethiopia
    e.       no fault agreement
    f.        options for insurance
    g.       an idea of expectations regarding cost
    h.       specific expectations regarding their expected financial contribution to the trip
    i.         identification of specific assignments as a part of trip
    j.    the importance of having routine medical checkups prior to the trip
   k.      expectations at airport related to entering and exiting Ethiopia

Are transportation arrangements to and from the airport arranged, in US (normally traveler’s responsibility)

Are leaders of IBS informed as to dates to expect visitors?
