Primary Responsibilities, Authority, including Financial (Budget) Over Sight:
The church office is the hub of communication and requires efficient clerical office management and improvements in day-to-day operations.
 
Primary responsibilities include:
  • Budget and operational oversight for Maintenance, Housekeeping, Church Security
  • Maintain church website with updated information of church activities and programs.
  • Maintain a master calendar of all church activities/programs and all non-church events taking place in church facilities.
  • Maintenance of office equipment.
Position Duties (in order of priority in which to be completed):
  • Daily Duties:
  • Greet those who come into the office, answer their questions, give needed assistance, or efer them to the proper staff person.
  •  Answer the telephone and give assistance or forwarding the call to the appropriate staff person.
  • Operation of a computer system in the daily task of organizing and implementing church business.
  •  Assist in drafting and typing letters, reports, records, etc. as needed for program staff and church officials.
  • Supervision of volunteer office help, which includes recruiting, scheduling, training.

  • Communicate with night security person and fill out report in excel. Switch out computer server tape and take previous days tape home
  • Check and respond to email and answer phones
  • Sort mail
  • Check calendar
  • Schedule and coordinate Mother’s Morning Out

Weekly Duties:
  1. Type and print the Sunday bulletins. Keep church records as assigned, including records for Church Windows software as well as those requested by church ministry areas. Of primary importance is the maintenance of current membership roll and mailing list.
  2. Order curriculum material and other supplies needed by the church, as directed by staff.
  3. Order and maintain an adequate inventory of office supplies. Arrange for delivery or pick up of supplies when necessary.
  4. Maintain and update database of mailing lists, membership status, birthdays, births, baptisms, deaths and new members.
  5. Weekly Checklist

  7. Communicate with Housekeeping, check supplies
  8. Communicate with Maintenance and prioritize “to do” list
  9. Type and format bulletin, have Director of Chancel Choir and Pastor proof
  10. Record Sunday attendance, record visitors & follow up.
  11. Send email to Deacons, Session and regarding church member updates.

Monthly Duties:
  1. Type minutes for any church committees as submitted. Send out notices of meetings of all ministry areas as requested.
  2. Maintain a master calendar of all church activities and of all events taking place in our facilities.
  3. Keep abreast of church protocol by keeping policies current and drafting needed policies for the pastoral staff to channel to the proper areas.
  4. Every 3rd month send out communication regarding homebound communion; set up meetings with homebound team and Glen; coordinate with Sacristy to prepare communion travel cases.

  8. Print a copy count to Financial Secretary
  9. Email Session minutes and dockets and reminder of session meeting
  10. Attend Property & Maintenance monthly meeting
  11. Design the monthly newsletter, and other brochures and flyers that are periodically requested by staff and ministry teams.

General Duties
  1. Maintain office equipment and arrange for repairs when necessary.
  2. Maintain an orderly environment including straightening materials, equipment, etc.
  3. Maintain office equipment and resource lists for repairs and maintenance.
  4. Know the security system and what to do in case of an emergency
  5. Perform other tasks as will be assigned by the pastor or by the Staff.
  6. Notify the Clerk of Session of new roll numbers assigned to new members.  Coordinate new members data collection and record in Church Windows.
  7. Coordinate a welcome reception with reception team.  Order flowers for new members.
  8. Key Communicator Role; Receive and distribute information from the Presbytery to the appropriate ministry teams and staff. 
  9. Preparation of the annual report - Responsible for setting reasonable deadlines  for acquiring reports from ministry areas, typing the information received, editing, formatting, proofreading, copying and assembly of reports.
  10. Provide yearly budget, which will include projected operating costs, housekeeping, printing, office supplies and paper.
  11. Refer community needs to appropriate resources.
  12. Coordinate fire drills

Remuneration:
Work Week:  Full Time (40 hour work week)

Computer Skills:
  1. Website management skills to include design and maintenance
  2. Microsoft Word (absolutely necessary)
  3. Microsoft Outlook (necessary)
  4. Microsoft Publisher (experience would be a huge bonus for the church, but this program can be picked up by someone who knows how to use Word and Excel)
  5. Church Windows software (will need to take a course)
  6. Microsoft Excel (at least some knowledge of the program – details can be taught to someone who has used the program before)

3. Demonstrate a high level of trust.
4. Strong communication skills both verbal and written.
5. Create an environment that is inviting to people passing through on a daily basis.
6. When urgent situations arise, first priority is to the person involved. Identify the need and its degree of urgency. Then refer, counsel, or take a message for one of the pastoral staff members.
