Meeting called to order at 7:00p.m. Devotions from John 12 were offered by Langdon of Mountain Chapel.  Shepherdstown is asked to lead devotions at September 20, 2011 meeting.  May17 minutes & Agenda for July 19, 2011 approved as submitted.

-Berkeley Springs – No report.

-Elk Branch – No report.
-Falling Waters – Vacation Bible School (VBS) averaged 52 per day. Finale included a picnic, a presentation on Sunday with another picnic for Father’s Day & offering donated to Nadia Ayoub. Celebrated 1 high school graduate & an infant baptism.  Independence Day picnic was well attended. Dinner & movie every 3rd Saturday continues.  August movie to be determined by winner of the door prize.  Monthly fellowship dinner after worship on 7/31. Women’s Bible study will finish Revelation tomorrow & start study of the Beatitudes.  Sunday evening Bible study group will picnic at the home of Pastor John & Jeanie. Step up Sunday is 8/28 with a presentation during worship & a Sunday School picnic after.  Community Day 10/1 beginning at 9 includes live music, quilt show, bounces, antique gun display, petting zoo, etc.
-First – Burton to begin sabbatical 9/15; pulpit supply for that time has been secured.  The capital campaign for windows is ongoing. 4 new members joined this summer & 1 child baptized.  Pentecost offering is divided between the Boys & Girls Club & Young Lives, a group working with young mothers.
-Gerrardstown –No report.
-Halltown – No report.
-Hedgesville –One of oldest members, Bernice Hiett, former Elder/Clerk of Session, passed (92).  Annual Church Picnic at Church after worship (6/12) Dr. Henry Christie, Charles Town Elder conducted service. Spare change collected Mother’s/Father’s Day donated to Care Pregnancy Center. Hunger Offering. Loaves & Fishes food collected 2nd Sunday each month. Hedgesville to assist Little Falls VBS 8/8 – 8/12. Church to have clothing/household goods giveaway/food sale at Hedgesville Heritage Day.  7/24 Birthday party after service for longtime member, Don Gulli, he has been ill.
-Kearneysville – Michelle Fox sang at the church in July & Wally Reynolds has been invited to see at another date.
-Little Falls – Very successful “Fun Day, 6/4 included attendees from church & community enjoying the yard /bake sale, moon bounce, face painting, gospel sing group, etc. VBS to be held 8/8 – 8/12.  Received 2 new members via reaffirmation of faith, 7/17.  Loaves & Fishes & 4 cents a meal hunger offering received once a month. Tuesday morning bible study is well attended.  6/12.  Dr. Henry Christie, Charles Town Elder conducted service.  OWLS Club continues to enjoy group activities, i.e. 6/26 trip to Holy Cross Abbey Monastery near Berryville. VA after lunch at Battletown Inn.  Other activities include, Potomac Eagle Train ride, tour of historic Presbyterian churches. Etc. 
-Mountain Chapel – Held Pet Blessing & collection of pet supplies/food at the home of Brad & Mary Ruth Langdon; lovely luncheon enjoyed by the human attendees.  Father’s Day breakfast at Ryan’s Restaurant after service. Hosted the picnic preceding Vespers in the Park. Helping fire victim rent a new apartment. .Brad will conduct his 2nd marriage at the Chapel.  Annual Sunday School Picnic at Lazy-A Campground, 8/28. Outdoor service followed by picnic & fellowship. 
-Shepherdstown – Church is seeking reconstruction of spirituality.  The porch is to be replaced.  Redesigned & repaired the stone wall.  Open house is planned for 9/10.  Kids raised money to purchase a cow & 2 were donated, their names are Clover, Dairy Queen & Holy Cow. Shepherdstown participates with other churches to conduct VBS.
-Tabler – No report.
-Tomahawk –Outreach Cmte planning church & other events. Youth planning a service project .Collection can in the vestibule for missionary contributions.  Improvement projects include sanding/staining Sunday School/Fellowship rooms, sump pump installation & kitchen in east side room of the building.  New church sign to be installed at intersection of Rt. 9 & Back Creek Valley Road.  Sign at edge of Coffinbarger home to be raised.  Contribution to be made to C-Cap & money from t4-cents a meal fund to Hedgesville Loaves & Fishes. 92 year old Alma Coffinbarger is receiving 24/7 care in her home & remains in good spirits, enjoying visits & hymn sings.  She remembers most songs.
-Tuscarora – 3 new members joined church. Several others are discussing joining.  Donna &Clark to relocate to Pikeville, KY. Donna to teach at the University & Clark hopes to pastor an area church. Over 120 attended reception for the family, 7/17, in the church hall. There were few dry eyes in the hall.  16 participated in Mission Trip to Raleigh County, WV, 7/9 – 7/16, where they repaired houses & did minor electrical work due to flood damage. Spirit night Chick-Fil-A, 7/25, 5 – 8pm, to offset the Mission Trip costs. Collecting non-perishable food for Hedgesville food pantry, an annual project during July/August.  Continue to collect 4 cents a meal each month & donate to the Rescue Mission. 55-60 children attended VBS.  Church looking for interim pulpit supply.  Prayers requested as church seeks new pastor.

Presbytery Council Representative (Burton/Thatcher) –Budget amended to award monies to active mission communities.  John Bethard to be nominated to General Presbyter Search Committee. Small churches are crying for help; recommendation for Small Church Committee development.  Sally to leave in December.  New form of government will institute name change for Sessions to Council of the Church.  New Book of Or4der online in PDF format.  Paper copies to be available at end of year.  Rufus requests a volunteer to take his place on Council for the next 2 meetings. . Admn, Dr. Porter shepherds 6 campuses in West Virginia, 2 largest are WVU & Marshall; 10 – 30 student’s at Shepherd. 20 member board is reaching out to students; 3 year grant supports the effort.  Ethel Hornbeck is Dir. of Campus Ministry.

Meeting called to order at 7:00p.m. - Devotions were offered by Kearneysville, (Forbes)).  Little Falls is asked to lead devotions at the May 17, 2011 meeting. February 3, 2011 minutes and the agenda for March 15 were approved with Doug Sensabaugh, Nadia Ayoub and Worship Service for May 11, Presbytery meeting added under new business.

Berkeley Springs – No report.
Bunker Hill – Community Steak Dinner, 3/26/11, 4-7 p.m., free will offering (handout).  We Care grocery boxes provided to needy individuals coming to the church for assistance.  Crisis Kits are provided to City Hospital to give to women in need. Held St. Patrick’s Day luncheon, 3/13.  Easter Party to be held 4/23.
Charles Town – No report.
Elk Branch – No report.
Falling Waters – 2/27 Music Fest was attended by 102.  Fat Tuesday Pancake dinner attend by 43. Held Ash Wednesday Service.  “Dinner and Movie Night, 3/19, Red will be shown and dinner is at Thelma’s.  Children’s Easter Play, 4/10, 10:00 a.m. followed by Silent Auction at 11:00 a.m. Easter Bunny will visit Family Fun Night, 4/16. Good Friday Service, 4/22 and Easter Sunrise Service 6:23, followed by breakfast and Easter service at 10:00 a.m.
First – Falling Waters and First combined worship followed by a luncheon in February.  The first and oldest female Elder, Polly Hume, passed; memorial service will be held 3/26 at 11 a.m.  Longtime member, Jim Salmon, lost a daughter.  Farewell social held for couple moving to Homewood in Williamsport.  Rufus is teaching from Matthew on Wednesday mornings.  Baptized a Boy Scout on Scout Sunday.  Steve will be presenting a concert on May 22.  Women sponsored Souper Bowl and the Blanket Offering collections. Smith wished to thank everyone for their calls and cards during her continuing illness. 
Gerrardstown – No report.
Halltown – No report.
Hedgesville –Continue to collect food and money monthly for Loaves & Fishes. Bible study/prayer; held Tuesday evenings every other week. Scouts participated in service on Boy/Cub Scout Sunday, followed by fellowship meal /collected $166 of cans of soup & $44 for “Loaves & Fishes”.  Women of the Church met after meal. Attended Dinner Theater with OWLS of Little Falls church.  3/6 Women met and decided to make Easter Baskets for member currently unable to attend church.  3/12 Boy Scouts held fundraiser with vendors and food items to sell to earn money to attend Summer Camp. 4/16 Community Easter Egg Hunt & party, with games, crafts, puppet show, egg hunt & refreshments.  Sunrise Service at 6:30 a.m. with breakfast following.
Kearneysville – Palm Sunday and Easter Sunday Service will be conducted at the regular time.  Soup and sandwich lunch each Sunday after service.
Little Falls – OWL’s Club attended “Arsenic and Old Lace at the Apollo Theater, 3/13.  Monthly free movie night was held 2/18 and will be held again 3/25.  Rev. Howard conducting bible studies at Little Falls (every other Tuesday morning) and Hedgesville (every other Tuesday evening), Little Falls received 3 new 2/27. Will be taking a special offering to help Nadia Ayoub, missionary to the Roma (gypsies0 in the Ukraine to help with the purchase of a vehicle.
Mountain Chapel – Approved 2011 calendar of events, worship & service.  Made commitment to strengthen ties with Falling Waters Church, i.e., Langdon conducting services at Falling Waters, 3/20. Collecting Hygiene/Student Kits during Easter season for Church World Services to be delivered to collection site in mid-May, by the Langdon’s’. Honored longtime member Eva Lickey with a reception on her 90th birthday, 3/5 & a catered dinner, 3/13.  Donations in memory of David Bennett to be used to re-gravel the parking lot. Collected 79lbs of food for Loaves & Fishes in February. Easter Sunrise service, 8:00 a.m. May1, worship service will be held at 8:30 a.m. followed by breakfast at Ryan’s. Other repair plans are to repair a leaking roof & replace an oil tank which does not meet safety standards. 
Shepherdstown – Tremba has books to give away; please take any you like. Special offering, 3/13, for Nicaragua mission totaled $5339.40, more than enough to provide scholarships for 4 youth ambassadors. Extra to be applied to material gifts for the Nicaraguan community.  Donations from other sources include a grant from Presbytery's Moffat Fund ($2500) & a fund-raising luncheon bringing the current total to: $11,256.40. 1 other youth joined the team but won’t need scholarship assistance.  Children of the church are raising money to buy a cow for Nicaragua.  LOVEFEST: From tolerance to celebration. Sunday, 4/17 at 7:00 p.m.in the Sanctuary; Gay and Lesbian Group from Shepherd has been invited.  SPRING FORUM: Jesus Saves?? , with Rebecca Weaver, John Q. Dickinson Professor of Church History  at Union Presbyterian Seminary, Saturday, 4/30, 9:00 a.m.-12:00 & Sunday, 5/1, 9:25-10:15
Tabler – Sunday, March 20 concert at 6:00 p.m., by The New Cross Roads (handout).
Tomahawk – Collecting change in a can for missionaries.  McDaniel elected Clerk of Session.  Youth Study Received 3 new members 2/13, Anna Bock, Chloe McDaniel & Danielle Coffinbarger on affirmation of faith following completion of class lead by Wolverton/session members & examination by the session.  A reception followed the service.  Ash Wednesday observed in an evening service. Those in attendance were invited to come forward to receive the imposition of ashes; a member raised in the Catholic faith shared her experiences as a youth on Ash Wednesday & during Lent.  Another shared her memories of Ash Wednesday and Holy Week in the Lutheran church.  Services will be held on Maundy Thursday, Good Friday and Easter Sunday.  Eldest member of the church turned 90 recently.
Tuscarora – Continue to collect 4 cents a meal each 2nd Sunday.  Collect for Rescue Mission each month. Women of the Church collected money for blankets.  Services will be held on Palm/Easter Sunday (6:22 a.m. with breakfast to follow) and Maundy Thursday (followed by soup and sandwich) A new member will be baptized and join the church at the regular Easter service. Currently planning a Mission Trip in West Virginia.  Fundraisers to support the mission will be held. The church is sponsoring repair work for the needy, i.e. handicapped ramps at their homes, etc.

New Business
•    Nadia Ayoub (Howard) – Nadia mission co-worker with Roma people & friend of EPMC needs a used car costing approximately $10,000.  We are asked to help with this transportation need.  Checks should be made out to Presbyterian Church (USA), with this memo line: Acct. # 27000-Mobility for Mission, Nadia. & mailed directly to:  Presbyterian World Missions, P.O. •    Doug Sensabaugh – The Rockfish Music Fest is being held at Camp Paddy run.  Presbyterian youth are encouraged to camp overnight.  2011 Montreat Youth Conference, 7/17-23 spots are available for 17 youth & 3 adult chaperones.
•    Presbytery Meeting (Bethard/Burton).  The next meeting will be held at Charles Town Presbyterian, May 10, 2011.  Burton provided a signup sheet for the worship portion of the meeting.

Devotions were offered by Stewart (Gerrardstown).   Hedgesville is asked to lead devotions at the January 18, 2011 meeting.

-Falling Waters – Participating in “Heifer” Program; purchased llama and 3 rabbits with funds collected. Held 2nd annual community Day.  Took in 6 new members. Hold monthly movie and dinner. Christmas Eve service 11 pm.  Attending Tomahawk Ecumenical Dinner.  Christmas Cantata on the 19th.
-First – Hosted Elder and Honorably Retired Pastor Banquet.  Sally Hinchman attended Sunday Worship Service.  Dot Bowers, Moderator for ShenPres Women hosted luncheon meeting for Presbyterian Women moderators.  Presbyterian Women coordinating 2 Christmas projects through Salvation Army.  Congregations are asked to fill 20stockings for infants -12 years and Christmas gifts for a family.  Dr. Burton nominated to write 2011 Theology Examination for PCUSA ministerial students.  Ropp/Miller Fellowship Class purchased/installed 2 Colonial chandeliers in Narthex in Memory of Doug Arvin.  Peacemaking offering totaled $418 and 4 Cents a Meal totaled $141.05 in October. Long time member, Charlotte Kuykendall passed away.  Applied for Lily Endowment for Burton to go to Cornwall.  On target to meet budget.
-Gerrardstown – 115 attended 2010 Homecoming conducted by former pastor, Rev. Partington.  Took in 2 new members.  Installed new doors thresholds.  Children collected pennies in the pews in September; will do so again in November.  They use the money to choose a gift to send to Heifer International.
-Halltown – No report.
-Hedgesville –Added additional section to parking lot/sidewalks and made repairs to existing parking lot. 10/9 gave away 1000+ pounds of clothing/household items/toys and donated 500+ lbs of leftover clothing to another church, during Hedgesville Heritage Days.  A trailer load of toys was donated for Love Your Neighbor Giveaway Yard Sale, Apple dumplings, country ham/mexican sandwiches, candies, cookies, etc. netted nearly $2000.  3 new members welcomed 10/17 followed by Fellowship meal and annual congregational meeting. Participated in Trunk and Treat with community churches; distributed treats to 300+ children. Rev. Marcia Jaureguizar was guest minister on 11/7; women of the church met after service to reorganize/elect officers for Women of the Hedgesville Presbyterian Church and enjoy soup/sandwich meal. Participated in International Meal/entertainment at Hedgesville United Methodist with other Hedgesville churches.  Students from other countries/local high schools prepared/served/food and provided entertainment.  Collected Christmas Shoeboxes/monies for Samaritan’s Purse, plus money for shipping. Making improvements to outside area of church.  Open House/refreshments planned for 12/3, 6pm – 8pm for Hedgesville’s Olde Town Christmas.  This includes tree lighting, holiday caroling and collecting toys for Toys for Tots.  Christmas Pageant planned for 12/19.
-Kearneysville – Successful and well attended Music Fest, 10/3/10.
-Little Falls – Spaghetti Supper, 10/16, Movie Night, 11/19, Grapes of The Grapes of Wrath, continuing men’s 4 cents a meal collection and donation to Loaves & Fishes monthly.  Annual Congregational meeting held October 28.  Rev. Marcia conducted services, new windows were dedicated 10/24.  Collecting Shoe Boxes for Christmas. Owls Club to attend a reenactment of the Gettysburg Battle at the cemetery gates.
-Mountain Chapel – Planning candlelit Christmas Eve service with luminaries in honor and memory on the outside.  Wreath worship planned for December.  Several repairs completed on the outside of the Chapel. Continuing to collect for Fishes and Loaves.  Christmas project planned.
-Shepherdstown – No report.
-Tabler – 100th Anniversary celebrated 9/25 and 9/26. Holding Pet Blessing/food drive 10/23. A wedding is planned uniting a Catholic Groom and New Life bride.  Longtime/beloved member, Dale Wink passed away. Moore was a speaker at the 265th Anniversary of Tomahawk church. A History of the Tabler Presbyterian Church is available for $12; a copy, see Bill Moore.
-Tomahawk – Celebrated 265 years.  Catechism class is in progress. Missionary Can netted $211.  Ecumenical Service is planned.  Christmas Eve service is planned for 11:00 p.m.

Convener (McDaniel) – McDaniel thanked everyone for support in 2010 and welcomed Cushwa as the 2011 Convener.  Everyone in attendance thanked Shirley for a job well done and gave her a standing ovation.

Secretary/Treasurer (Bennett) – Requested remaining budget funds be equally distributed among the EPMC supported tri-county charities.  The suggestion was approved.

--Berkeley Springs – No report.
--Bunker Hill – Bible School was well attended.  Annual yard Sale Scholarship program raised $3122.27. A tropical luau themed Church Picnic was enjoyed by al in September.  Youth to hold a bake sale to raise money for families in need at Thanksgiving and Christmas.  Youth also to go bowling and participate in a lock in.  You will hold a fundraiser ham sandwich sale.  Another stove and refrigerator have been donated by members.

Elk Branch – No report.
--Falling Waters – 2nd Annual Fun day to be held 10/2, 9-3, featuring music, moon bounce, food, antique car show, etc. Two new members / new member class Sunday mornings. Bible study resumed on Sunday nights. 10/24, 4-6 Fall Fun Night, including a hay ride.
--First – No report.
--Gerrardstown – 10/10 Homecoming to feature former pastor, Rev. David Partington, all invited to attend.  Harriett Kopp publishing newsletter every other month. Buildings and Grounds Cmte working on many church /manse projects, i.e. gutters, doors, windows, etc. Prayer and Praise Group meetings 2nd and 4th Wednesdays, 7PM. Presbyterian Women meet 1st Friday at 6PM. Held Annual Church Picnic/pool party at Hughes home.  9/19 Soup and Sandwich at the Hall.  Choir to share music at Elmcroft Assisted Living 9/20.  Children collecting Pennies in the Pews to donate to Heifer International: July collection of $140 went to purchase a pig/flock of chickens.  This to continue in September and November.
Halltown – No report.
--Hedgesville – Assisted with Little Falls Bible School. Homecoming and Bring a Buddy Sunday, 8/29. Service included a hymn sing, fellowship meal and items collected for Loaves and Fishes in addition to a Hunger Offering. Tailgating Party held at Hedgesville UNC, which was sponsored by the Hedgesville Community Churches. School supplies for Hedgesville Elementary and Tomahawk Intermediate were held.  Pot luck luncheon was enjoyed by all.  9/19 Pet Blessing service. Two new members to join 10/17.  14 new parking spaces have been created.  Heritage Day will include a clothes and furniture closet, apple dumplings, etc.  Trunk or Treat with 3 other churches will be offered again this year.
--Kearneysville – Hosting Music Fest on 10/5.  Sold property to the state of WV.  .
--Little Falls – Monthly movie night will feature the movie Amazing Grace.  Owls Club started. Spaghetti supper to be held 10/16, donations accepted.  Discontinued Angel Food Program.  VBS was successful will 23 children attending.  Continue monthly food offerings and 4 cents a meal.  Dedication of new windows, service 3pm, 10/24/10.
--Mountain Chapel – New sign erected on Old Oak Tree.  Former Chapel CLP, Ed Rawlings and wife Dora (now living in Florida) made a surprise visit in August.  Necessary repairs are being made to the Chapel.  Annual Sunday School Picnic and outdoor service at Lazy-A Campground, Sunday, August  18, service  conducted by Rev. J. Bradford Langdon, attendees included Rev. Rob and Pam Hill. World Communion Sunday will feature bread from other countries.
--Shepherdstown – Peace Fest 10/3, 7PM – Muslims from Hagerstown, Iman and young people to attend.
--Tabler – 100th Anniversary celebrated 9/25  and 9/26. Holding Pet Blessing and food drive 10/23.
--Tomahawk – VBS for week of 8/18.  9/4, annual Day of Celebration included yard/craft/bake sales, etc. 265th Anniversary celebration, 9/19, included lunch and speakers, CLP William Moore and former Shenandoah Presbyter, Rev. Dr. Tom Hay. 
--Tuscarora –  Tuscarora Transformation Team has been resurrected, to try to help all church members' voice visions for passionate spiritually /gift based ministries. Planning a Mission Trip within domestic USA, 7-10 days summer of 2011, cost per person can range from $150 to $1000 per person.

Convener (McDaniel) – Shenandoah 2010 Questionnaire for Mission Communities was submitted with changes suggested at our last meeting.

Vice Convener (Cushwa) – No report.

•    Christmas House International 2010 (Moore/Howard) – Looking for commitments from host families.  Families may host for one or two weeks.  Drivers  needed to pickup/deliver students to airports and various events during their stay.

•    Missionary Events (Howard) – Nadia Ayub in the Ukraine working with children of the Roma (she speaks Russian).  Howard is the contact for those who wish to support her with prayers and monies.

Education
•    Sessions Enrichment Program – (McDaniel/Bennett) 10/23, will also honor the “Honorably Retired” pastors who served in the Eastern Panhandle..Reservation for the banquet should be made to First Church office no later than 10/11.  EPMC will purchase dinner for the retired pastor and a guest.  Interim Presbyter Sally Henchman will be the featured speaker.
•    Officer Training (Brown) –11/6 at Falling Waters, 9-12:30 pm. Potomac Highlands Mission Community invited to attend.
•    Presbyterian Annual High School Banquet Committee (Tremba, Moore) – Held September 12 at the new fitness center.  Vickie Jenkins, Jeff Hornbeck and Dr. Ericson spoke and a gift was presented to each Senior attending.  Three recent Presbyterian college grads were on hand to discuss their experiences and give advice.   A great dinner was enjoyed by approximately 60 persons.
•    Shepherd University Campus Ministry (Tremba) –

•    Music Fest (Smith) – Next music Fest at Kearneysville, October 3 at 4:30 p.m.

New Business
•    Honorably Retired – Presbytery  requested the EPMC to recognize the “Honorably Retired” in the Eastern Panhandle.  The Executive Committee recommends this be included in the Annual Elder Banquet at First.  The committee will handle sending invitations and recognition at the banquet.
•    The mission community budget has been reduced by 20% per request of Presbytery
•    Lisa Hedrick reported that Sally Hinchman enjoyed the 100th Anniversary Celebration at Tabler.  The Big Event was successful.  Suggestions are being sought for the workshops to be offered at next year’s event.
•    Meeting dates for next year will be the 3rd Tuesday of every other month beginning in January 2011.

- Bunker Hill – 3/24 Pot Luck Dinner, 3/27 Community Steak Dinner. Shared Easter Sunday events with Bunker Hill Methodist, Youth group has restarted with new leadership.  Tri-annual visit with DeSarro-Raynal and Burton occurred at May Session Meeting. Church and some members communicating via Facebook to encourage better communications.

- Elk Branch – No report.
- Falling Waters – .Successful Easter events, manse being updated for new renters.  May, wedding and Heritage Sunday Picnic.  VBS planned for June 14-18, with program on Father’s Day.  4 new members in April.
 -First – Faithful member Elizabeth David passed, March 28.  Holy week services included a Passion Service, Evening Prayer services, Maundy Thursday dinner and service and Good Friday service.  Stephen Snyder conducted music recital, Bonnie/Bill showed slides of trip to Egypt at may church supper. Florence Nightingale services 5/16 with RN Dot Bowers portraying Ms. Nightingale and service conducted by Burton. 5/22 Massanetta Springs celebrates 100 year Anniversary o f Historic Hotel. 5/25 Logan Stroop reporting to Lackland Air Base, San Antonio, Texas.  6 4/5, indoor rummage sale.  
- Gerrardstown – 5/23 presented bibles to High School graduates during service.  5/2 Youth Group and some adults picked up trash on Reunion (nee Union) Corner Road (for Adopt a Road Program).
- Halltown – No report.
- Hedgesville – 3/21 Boy/Cub Scouts attended church service/ reception as a group with some participating in service.  Some members joined Maundy Thursday service at Little Falls. 4/3 largely attended Easter Party for church/community children included puppet show, games, refreshments, Easter Egg Hunt, etc.  Hedgesville Sunrise Service held with other churches, concluded in regular church service with bell ringing.  Loaves and Fishes – collect money/food/garden vegetables for distribution.  5/9 Men of Church presented a flower to each Mother. Hedgesville churches erecting 3 signs welcoming people to town churches. 5/16 Men’s Breakfast. Filling baby bottles with spare change, Mother’s Day – Father’s Day, with proceeds to be donated to Care Pregnancy Center.  6/13, Church Picnic to be held after service at Clifton site.
- Kearneysville – Started new Sunday School classes and a Bible Class for adults.  Serve Communion once a month.   Mothers presented flowers on Mother’s Day.
- Little Falls – 6/12 Fun Day and Yard Sale, 9 – 2. Held Maundy Thursday dinner.  Attended Easter Sunrise at Hedgesville.  Wearing of the Red Pentecost service.  Rejuvenated Sunday School Class has started.
- Mountain Chapel – Langdon conducted Lord’s Supper classes, 2 children admitted to the Lord’s Table.  Brad and Mary Ruth provided delicious congregational dinner on 4/18. Continue collecting food for Loaves and Fishes.  Mother’s Day Breakfast/Worship Service conducted outdoors, included offerings for Mother’s/Father’s Day.  Pentecost offering collected.  6/13 Father’s Day Breakfast/ Worship Service and 6/26 Pet Blessing Service will include SPCA offerings.
- Shepherdstown – No report.
- Tabler – No report.
- Tomahawk – Added new member during Easter Worship Service.  Communicants class to begin in near future.  Bible study every other Sunday following worship, “How the Bible Came to be”.  1 high school graduate recognized.  Alma Coffinbarger recently honored with an 89th birthday dinner has been very ill, prayers are appreciated.  VBS scheduled for week of 8/18.  9/4, annual Day of Celebration to include yard/craft/bake sales, etc. Anniversary celebration, 9/19.  Praise band accepting invitation to church events.
- Tuscarora – Hosted breakfast at Holiday Inn and church coffee hour to honor graduating high school seniors.  Continue “pennies-in-the pew” offering to help Shenandoah Presbytery send 15 missionaries to spread the: good news” of Jesus Christ. Church hall expansion construction nearing completion, plan youth “lock in” in July.6/15 Rev. Dr. Donna DeSarro-Raynal to present Lesson #9:  The challenge of God’s Covenant.  Presbyterian Women continue collecting “gently used: clothing/household items for Bunker Hill Brethren.  Items to be picked up 6/5.  Tuscarora Transformation Team to be resurrected, to try to help all church members voice visions for passionate spiritually /gift based ministries. Shenandoah 2010 (Thatcher) – 13 of 15 EPMC churches submitted the Session questionnaire responses. Questionnaires will also be sent to the mission communities.  Try to have representatives from each church (1 pastor, 1 Elder) to discuss “at large questions” at the January 20 meeting.

--Falling Waters – March 7 dedicated new organ with recital by Sandy Stamets, 100 + in attendance. Palm Sunday program features children and symbols of Easter.  Maundy Thursday features Last Supper drama.  Easter Sunrise Service 6:00 a.m., breakfast, Easter Egg Hunt, Sunday School and worship service at 10:00 a.m.  New Bible study from the Book of Luke, Sunday nights at 7:00 p.m.  Four new members will join in April.
--First – Ramona Smith unable to attend tonight’s meeting due to illness.  Organ Recital by Music Director/Organist Stephen Snyder, April 11 at 3:00 p.m. 104 hygiene kits donated by First members and friends.
--Gerrardstown – Fellowship lunch after service 3/21/10. Repairs are being made to the Church Hall.  10.00 a.m. Bible Study on Sunday mornings.
--Halltown – No report.
--Hedgesville – 2/4 and ¾ collected food for Loaves and Fishes and 4 Cents a Meal offering.  2/21 Installed Elder Hartley Tetro to a new 3 year term, held Men’s Breakfast 2/21.  Baptized Olivia Grace Payne ¾ and held Fellowship Lunch after church service 3/14.  Scout Sunday and Men’s Breakfast to be held 3/21.  Saturday 4/3 Easter Egg Hunt and Party 3:00 p.m. – 5:00 p.m. church and community with crafts, games, puppet show, etc.  6:30 a.m. Sunrise Service with other Community Churches, breakfast to follow.
Kearneysville – Only missed one church service during January and February due to snow.  Need to replace furnace. Will collect for 1 Great Hour of Sharing, Palm Sunday.  Have installed new doors.
--Little Falls – introduced new representative, Phil Adams.  Phil was on the planning committee that initiated the Mission Community program.  The Music Fest was a great success with an excess of $2000 collected for Presbyterian Disaster Assistance for Haiti.  Will have a Maundy Thursday service.  Joining Hedgesville in the Community Sunrise Service, and Easter Egg Hunt.  Continue to participate in the Angel Food program.   Community Fair is planned, Bible School will be held in August.  Windows must be replaces, 3 Sundays of special offerings are planned.
Mountain Chapel – Replaced furnace and made electrical repairs with grants from the Committee on Church Development (Presbytery) and the Synod’s Small Church Fund.  Collected Hygiene Kits, continue collecting food for Loaves and Fishes. 3/8 held congregational planning meeting to establish calendar for remainder of year.  Lord’s Supper is conducted 1st Sunday of each month.  Easter Sunrise Service with the Lord’s Supper to be held at 8:00 a.m.
--Shepherdstown – have experienced great loss at Shepherdstown Presbyterian in the last year.  Recently lost the organist of 25 years, Barbara King due to a brain aneurysm; organ remains silent during Lent in her honor.  Casa Bike Ride to be held 5/22, handouts and cards provided. 3rd annual Earth Fest with music and skits to be held.
--Tabler –   A free magic show will be held 02-20-10 at 7:00 pm.
--Tomahawk – Events of Easter and leading up to Easter include:  Easter Egg Hunt, 3/20, 3/28 Youth Praise Band performing at 9 am worship (“Trading My Sorrows” and the “Battle Belongs to the Lord”., Maundy Thursday Service begins at 6:30 pm with supper and Holy Communion, Good Friday Prayer Service observed at noon and everyone is invited to bring a bag lunch, Easter Sunrise Service at 7 am is followed by breakfast and the 9 am worship service with a One Great Hour of Sharing Offering.  More than $527 from a special collection donated to Pres. Disaster Assistance.  Sister Alma Coffenbarger celebrating with a church sponsored 89th birthday dinner at Hoss’s.  New member will join the church.
--Tuscarora – Kitchen and 2 handicapped bathrooms to be added to the Church Hall.  Health Kits will be taken to New Windsor in early April.  6 am Easter Sunrise Service will be followed by breakfast at the Ruritan Hall.

In attendance:  Berkely Springs (Osborne/Rybern), Bunker Hill (Cooper), Falling Waters (Chamblin/Cushwa), First (Smith), Hedgesville (Houck/Howard), Kearneysville (Cress), Little Falls (Howard), Mountain Chapel (Langdon), Shepherdstown (Tremba), Tabler (Moore), Tomahawk (McDaniel/Wolverton), Tuscarora (Brown).  Not represented: Elk Branch, Halltown, Charles Town, Gerrardstown.   Guest:  Doug Sensabaugh (Presbytery)

Meeting called to order at 7:00 pm and began with devotions by Berkeley Springs.  Bunker Hill is asked to lead devotions at the March 16, 2010 meeting. November 17, 2009 minutes  approved as submitted. 
Agenda for this meeting approved as corrected.  Corrections include the following additional items under new business:  Doug Sensabaugh report, Christmas International House and  hygiene kits.

Church “Good News” Reports and Announcements of Upcoming Events
Berkeley Springs – no report due to time constraints
Bunker Hill – held Christmas program/dinner in January, collected $297 for Christmas Joy Offering, hosting community steak dinner 01-30-10, 4-7 pm, collecting  Souper Bowl offering for Loaves and Fishes. To crown Mr/Mrs Valentine at Valentine luncheon.
Charles Town – No report.
Elk Branch – No report.
Falling Waters – new organ installed.  Christmas program went well.  Five new members joined.
First – held Christmas Eve  svc, $1 200 donation to Haiti, Hygiene Kit drive on-going, Souper Bowl collection to  be taken, soup/sandwich luncheon 01-31-10 following 11 am svc/Blanket and Tool offering, church secy began 19 years ago in December, free childcare opportunity for 2-5 year olds, Wee Tales Told Pgm.
Gerrardstown – No Report.
Halltown – No report.
Hedgesville – Loaves and Fishes collections, house beside church torn down/land to be graded and seeded in future, Ruth Donaldson ordained as Deacon, Elders installed,  guest minister Dr. Henry Christie 01-17-10/guest minister CLP/Elder William Moore 01-24-10.
Kearneysville – No report given due to time constraints
Little Falls – will host Music Festival to honor Haiti on 02-28-10 at 4 pm.
Mountain Chapel – preparing to replace furnace, assembling Hygiene Kits for Church World Service, collecting food for Loaves and Fishes of Berkeley County.
Shepherdstown– No report given due to time constraints.
Tabler –   A free magic show will be held 02-20-10 at 7:00 pm.
Tomahawk – No report given due to time constraints.
Tuscarora – No report given due to time constraints.

Convener (McDaniel) – The budget was reviewed during the Executive Committee meeting.
Vice Convener – (Cushwa) – No report.

Secretary/Treasurer (McDaniel for Bennett) – Final 2009 Budget report provided  via email.  Proposed 2010 budget submitted to Executive Committee.  Presbytery cut 2010 budget from $7000 to $6440. 

Presbytery Council Representative (Brown) – Council met 01-12-10. Nominations Cmte out of order regarding membership; new layman must be nominated.   2010 budget revised to adjust for a 2.5% salary increase for Presbytery staff.  Lutheran-Presbyterian Campus Ministry at Madison Univ has been dissolved, however, the Presbyterian half of the ministry will continue to function and hire a part-time director.  Fall Presbyterian Women’s gathering, leadership school and mission fair to be combined into one event to be held 09-11-10 at Massanetta Springs Conference Center.  Potomac Highlands Mission Community requested prayer asking God to lead a person to serve on Presbytery Council; 2 overtures to be presented at the Feb Presbytery mtg. Shenandoah 2010 (Brown for Thatcher)
– Session questionnaire responses due 03-15-10. Questionnaires will also be sent to the mission communities.  Shenandoah 2010 to talk to Camp Paddy Run, SPYCE, Presbytery Corp, Presbyterian Women, Massanetta Springs Camp/Conference Center, Ethopian Partnership, Disaster Response Team, Pilgrimage and Rehoboth. 

Updates on EPMC Activities


Mission
•    Tri-County Mission Support (Bennett) – No report .
•    Christmas House International 2010 (Moore/Howard) – Hosted 11 students in 2008.  Committee will be looking for commitments from host families sooner.  Families may host for one or two weeks.
•     Vespers in the Park (Cushwa) – Rev. John Cushwa to contact ministerial assoc about date and give sermon.  Bennett to arrange for picnic pavilion.
•    *300 Club (Bennett) – No report.
•    Missionary Events ((Wolverton/Howard/Burton/Cushwa) - The cmte to meet.  Nadia leaving soon to work with Roma children in Ukraine. 

Education
•    Sessions Enrichment Program [formerly Presbyterian School for Excellent Leadership (Burton/Temba)] – No report.
•    Officer Training (Clark DeSarro-Raynal) –No Report.
•    Presbyterian Annual High School Banquet Committee (Moore/Tremba) – Dinner  held 11-22-09 with 60 in attendance (30 were high students).  Several current college students and 3 Elders spoke.  A concern is noted that there were 80 reservations and only 60 atendees. 
•    Shepherd University Campus Ministry (Tremba) - Committee held its first meeting yesterday with Richard Coffinberger as our representative; next meeting will be 02-21-10.  The group will focus on a spiritual foundation and has chosen the name, Connections.  $5000 from Westminster Foundation to be used to fund a part-time minister.  They will begin holding dinners twice per month and need the names of students to send invitations to. 
•    Youth Council (Chamblin) – No Report.
•    Music Fest (Smith) – Next music fest to be held 02-28-10, 4:30 pm, Little Falls Presbyterian.  An offering will be received for Presbytery Disaster Assistance and the joint choir will sing a song written for Haiti.

Promotion
•    Ads/Media (Cushwa) – No Easter ad campaign; all designated money to be used at Christmas.  It was noted that a time should be given for church services. 
•    EPMC Website (Bennett) – Send changes/additions to the website through Bennett at mailto:dvb46@comcast.net  
•    Historical Tour (Moore) – No Report.

New Business
•    2010 Budget (Executive Committee) – Hedgesville Loaves and Fishes designated a larger donation to compensate  for  error in amount donated to them from 2009 budget.  Funds not designated  to be moved to discretionary fund.  Executive Committee to discuss 3 year planning goals previously required by Presbytery.  Amount of money designated for Music Festivals, was discussed, but no changes to the budget at this time. 
•    Doug Sensabaugh - Web design class 03-06-10; registration 8:00 am, bring your own laptop.  Leadership School to feature class for Presbyterian churches on using social networking programs.  Churches can order Ecopalms as part of Presbyterian Hunger.  Palms arrive the week prior to Palm Sunday.   Baja Mission Trip, 07-25–31 has 30 spots left.  On previous trips they built 30 houses.   Montrea/Triennium have 18 spaces each that  must be claimed by 02-15-10.  Hygiene kits should be taken to First Presbyterian NLT 02-03-10, contact the church office to let them know you are coming.  Jim Salmon to deliver kits to the warehouse.  

Announcements
--Announcements were covered under church news and committee reports. In future please make 20 copies of any events/announcements to hand out to attendees to take back to their respective churches.
